<p> <b>Job<br>Description Faculty<br>Administrator</b> </p> <p> <b>Reporting to</b>: Dean/Director of Academic Faculty</p> <p> <b>Summary:</b> </p> <p>The Faculty<br>Administrator at the Academic Faculties in Muscat University is<br>expected to perform administrative tasks to support the academic faculties in<br>planning, coordinating, and implementing activities. The<br>position requires collaboration with staff, students, and the industry, and responding to work requests from other<br>departments in a timely and accurate manner. </p> <p> <b>Duties<br>& Responsibilities </b> </p> <p>1. <br>Prepare, maintain, and distribute meeting materials,<br>business presentations, and other department files, and ensure quality<br>documentation is available.</p> <p>2. <br>Ensure that the website and the quality management system<br>portal of the department are up to date.</p> <p>3. <br>Support the organisation of field trips and other faculty-related<br>special events like job fairs, promotion events, information sessions, student<br>inductions, etc.</p> <p>4. <br>Assist in budget preparation, procurement, and other<br>expense management activities.</p> <p>5. <br>Perform data collection for quality assurance and other<br>external bodies.</p> <p>6. Provide first-level support in advising by providing<br>required documents, guidelines, and setting appointments between advisers and<br>students at risk.</p> <p>7. Manage<br>day-to-day administrative operations of the faculty, including documentation,<br>scheduling, and internal communication.</p> <p>8. Assist<br>the Dean, Assistant Dean, and academic staff in coordinating teaching<br>schedules, examinations, meetings, and faculty activities.</p> <p>9. Act<br>as a point of contact for students, faculty members, and external stakeholders<br>regarding administrative matters.</p> <p>10. Maintain<br>accurate records of faculty operational plan, activities, reports,<br>correspondence, and academic documentation.</p> <p>11. Organize<br>faculty meetings, workshops, seminars, and academic events, including<br>preparation of agendas and minutes.</p> <p>12. Support<br>the preparation of reports and ensure compliance with university policies,<br>accreditation requirements, and regulatory bodies.</p> <p>13. Coordinate<br>with other university departments such as HR, Registry, Finance, and IT to<br>facilitate faculty operations.</p> <p> <b>Qualifications for Department<br>Coordinator</b> </p> <ul> <li>Bachelor s degree in a<br>related field.</li> <li>Works independently and with minimum supervision</li> <li>Trustworthy and can handle confidential<br>documents </li> <li>Excellent communication skills in English and<br>Arabic</li> <li>Proficient in the use of Microsoft Office. </li> </ul> <p> <b>Skills and Competencies</b> </p> <ul>
