<p>Summary of Role The role is expected to manage overdue accounts based on the daily reports for all SME customers and ensuring timely debt recovery while maintaining professional customer service. Provide executive leadership and single-point accountability for the delivery of OQEP's capital projects portfolio, directing the planning, engineering, construction, pre-commissioning, commissioning, and close-out of all upstream projects in accordance with agreed scope, schedule, budget, quality, and functionality. The role owns the project portfolio framework and master plan, optimises resources and deliverability in consultation with the business lines and Opportunity and Project Management System (OPMS) Guidelines and Procedures, and governs integrated project reviews to maximise value and cost-effectiveness. As the senior project authority, the position sets project delivery standards, governs design integrity and contracting strategy, ensures rigorous project controls and assurance, and champions the highest standards of health, safety, security, and environment across all project activities, while building organisational capability and safeguarding people, assets and the Company's reputation. <br>

Manage and deliver capital projects for the upstream portfolio from planning through commissioning and close-out, in accordance with agreed scope, schedule, budget, and functionality. <br>
Lead upstream project portfolio planning and resource optimisation in consultation with the business lines and the Projects Centre of Excellence (CoE). <br>
Direct integrated project reviews across planning, design, and construction to maximise deliverability and cost-effectiveness in line with business unit requirements. <br>
Develop and maintain an overarching project portfolio framework, including project scheduling, planning and project-management systems, milestone identification, and performance reporting. <br>
Oversee the development and continuous update of the integrated OQEP capital project master plan, and set project strategies, policies, processes, and procedures to realise its goals while ensuring effective interface management between projects. <br>
Maintain portfolio design and construction standards, govern design reviews for new construction, and advocate appropriate system and technology choices. <br>
Integrate project budgets and capital-plan budgets to maximise deliverability and cost-effectiveness, and govern cost control across the portfolio. <br>
Oversee portfolio and integrated facilities contracts, including construction bidding and contracting documentation, ensuring all contractual and project documentation requirements are met. <br>
Govern the selection and evaluation of qualified engineers, specialist consultants, and contractors in coordination with the Projects CoE, chairing or participating in selection committees as required. <br>
Implement facilities design guidelines to raise the quality and consistency of project outcomes, and maintain the technical knowledge base for OQEP's physical facilities as part of asset registration. <br>
Govern the inspection, commissioning, and close-out process, ensuring adherence to standards, contracts, codes, and regulations, and proper handover to operations and Facilities Management. <br>
Implement a post-completion evaluation programme covering clients, project/construction managers, contractors, and consultants to drive continuous improvement. <br>
Establish and govern robust project controls, risk management, and assurance across the portfolio, ensuring transparent cost and schedule status and effective change management. <br>
Champion a strong health, safety, security, and environment culture, ensuring all project activities comply with QHSE and regulatory requirements. <br>
Develop and manage proactive communication protocols with all stakeholders, including executive leadership, the Board, business lines, community, and external partners. <br>
Maintain constructive relationships with the external design and construction community to facilitate effective consultant and contractor engagement. <br>

Regularly monitor the daily schedule of the manager/s and provide in advance the required information/documentation for meetings/appointments by co-ordinating with sources within the company and externally. Alert the manager/s of any last minute reschedules or cancellations.</li><li>Receive and screen incoming call and mail, action responses or re-direct as necessary to the appropriate individuals to obtain additional information prior to presenting to the manager/s.</li><li>Manage and maintain a proper paper based or electronic filing system that is easily accessible by the manager/s or the team.</li><li>Manage and monitor the department/section attendance and leave records, overtime claims and verify such claims where necessary obtaining the required approvals to facilitate payroll processing through the finance team.</li><li>Where necessary manage petty cash accounts by verifying authenticity of claims ensuring figures are accurately recorded. Control and handle cash transactions to bring accounts to balance.</li><li>Undertake and support the manager/s or the team in a variety of special projects involving internal and external parties including researching activities involved with the project. Assist with the preparation of the department/section budgets.</li><li>Where required handle the invoicing and accounting matters of the Department. Arranges for vetting, approval, payment and receipt of all bills.</li><li>Responsibility for the acquisition, maintenance and replacement of office assets and equipment. <p>Role Objective: To support the Head - Mine Development and Operations by coordinating day-to-day mine operations activities, tracking project timelines and deliverables, maintaining accurate documentation, and facilitating communication across departments, in order to ensure mine operations projects and initiatives are delivered on schedule and in line with Company standards. Duties and Responsibilities : Project Coordination Coordinate and track mine operations projects, initiatives, and improvement plans against agreed timelines and milestones Prepare and maintain project schedules, action logs, and status trackers, and flag delays or risks to the Head - Mine Development and Operations Support the planning and coordination of resources, equipment, and contractor activities required for mine operations projects Follow up with internal departments and external contractors/vendors to ensure timely completion of assigned tasks Assist in organizing project meetings, preparing agendas, recording minutes, and tracking follow-up actions Documentation & Reporting Maintain organized and up-to-date project files, records, and documentation for mine operations activities Prepare periodic progress reports, dashboards, and summaries for the Head - Mine Development and Operations Ensure project documentation complies with Company templates, standards, and version control practices Consolidate data and inputs from various stakeholders into clear, accurate reports for management review Coordination & Communication Act as a point of contact between the mine operations team and other departments on project-related matters Support scheduling and logistics for site visits, inspections, and project-related activities Communicate project updates, changes, and action items to relevant stakeholders in a timely manner Budget & Procurement Support Assist in tracking project budgets, expenditures, and purchase requisitions against approved plans Support the preparation of purchase requests and coordinate with the Procurement function to expedite critical items Other Core Responsibilities Ensure that the quality, health, safety and environment related requirements as applicable to performing the role are met at all times Adhere to organizational policies and procedures at all times as applicable to performing the role Compliance to QHSE procedures and familiarity with HS Risk, Environment Aspect Impact & Legal Registers Perform any other duties as reasonably assigned by the Head - Mine Development and Operations</p><p><strong>Desired Candidate Profile</strong></p><p>Education: Bachelor's degree in Engineering (any discipline) or Project Management PMP or other project coordination/management certification is an advantage Experience: 1-3 years of relevant experience in project coordination, planning, or operations support, preferably in mining, construction, or an industrial environment Special Skills & Knowledge: Technical skills: Working knowledge of project coordination tools and scheduling techniques Basic understanding of mine operations processes and terminology Proficiency in MS Suite, including MS Project or equivalent scheduling tools Soft skills: Strong organizational and time-management skills Good communication and coordination skills Ability to work independently with minimum supervision and under tight timelines Attention to detail Team player with a proactive, can-do attitude</p>
