Client Reception:

  • Greet clients in a friendly and welcoming manner.
  • Check-in clients for their appointments and ensure they complete necessary forms.
  • Assist clients with scheduling, rescheduling, or canceling appointments as needed.
  • Answer incoming phone calls and provide information, schedule appointments, or direct calls to the appropriate department.

Appointment Management:

  • Maintain and update the appointment or scheduling.
  • Notify service providers of client arrivals and schedule changes.
  • Send appointment reminders to clients via phone, whatsapp, email, or SMS.

Billing and Payments:

  • Handle payment processing, including cash, credit card, and other payment methods.
  • Prepare invoices, issue receipts, and maintain accurate financial records.

Client Services:

  • Provide information about salon and dermatology services, products, and promotions.
  • Address client inquiries, concerns, and complaints professionally and promptly.
  • Ensure the reception area is neat, organized, and well-stocked with relevant brochures.

Administrative Support:

  • Maintain and update client records, including contact information, medical history (for dermatology clinic), and preferences.
  • Assist in managing inventory and ordering supplies for the front desk.
  • Collaborate with other staff members to ensure smooth clinic /salon operations.

Compliance and Confidentiality:

  • Adhere to privacy and confidentiality policies, especially concerning client medical records.
  • Stay up-to-date with industry regulations, best practices, and compliance requirements.

With all stakeholders / Departments.

Qualifications and Experience

  • High school diploma or equivalent.
  • Proven experience as a receptionist or customer service representative, preferably in a salon or medical clinic or Airline industry.
  • Excellent communication and interpersonal skills.
  • Proficiency in computer applications and scheduling software.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and remain calm under pressure.
  • Knowledge of salon or dermatology clinic operations is a plus.
