Roles & Responsibilities
About the Role
To manage and execute comprehensive HR operations for the Oman branch, covering onboarding, visa processing, orientation, training, employee engagement, performance management, and coordination with Admin, Finance, IT, and PRO teams.
Key Responsibilities & Duties:
Pre-Onboarding & Onboarding
Coordinate with recruitment on upcoming new joiners.
Share pre-onboarding checklists and collect/verify required documents (medical reports, passport copy, signed offer letters, experience/relieving letters, recent photo).
Liaise with PRO for visa processing and government formalities.
Coordinate with Admin for accommodation, flights, and airport transfers.
Maintain and update onboarding tracker and share with relevant departments.
Arrange transport, complete joining formalities, issue employment contracts, NDAs, NDAs, job descriptions, and facilitate workstation setup, uniforms, and staff advances.
Conduct Day 1 orientation and team introductions, issue ID cards, and register attendance/access.
Send welcome communications and handover employee to the respective department.
Post-Onboarding Activities
Create personal files (hard and soft copies) for all new employees.
Conduct follow-up calls post-joining to address issues.
Coordinate with PRO for medical tests, Civil ID, and bank account setups.
Follow up on housing/accommodation arrangements or allowances per policy.
Rejoining & Internal Transfers
Manage rejoining and internal transfer processes, ensuring proper documentation.
Issue transfer letters and inform Payroll, IT, and Admin teams.
Induction & Training
Employee Engagement
Maintain monthly notifications for birthdays and work anniversaries; announce via WhatsApp groups.
Organize employee engagement activities, welcome events, and celebrations.
Design and distribute greeting cards and milestone certificates.
Track and manage the employee engagement budget and initiatives.
Grievance Handling & Committees
Probation Confirmation Process
Track probation timelines via confirmation tracker and master records.
Notify line managers about upcoming probation evaluations.
Facilitate confirmation assessments; issue confirmation or extension letters.
Disciplinary Procedures
Handle misconduct cases, issue warning letters, and maintain documentation.
For major violations, initiate domestic enquiry procedures.
Performance Management System
Ensure all new employees receive KPIs/KRIs within the first month.
Maintain copies in personal files and HR system.
Conduct quarterly performance reviews with managers.
Manage annual performance appraisal process: coordinate with managers, collect appraisal forms, issue increments/promotions, submit updates to Payroll, and maintain acknowledgments.
Desired Candidate Profile
Strong knowledge of HR operations and labor law compliance
Excellent organizational and time management skills
Attention to detail and problem-solving ability
Proficiency in HRMS, MS Office, and reporting tools
Effective communication and interpersonal skills
Ability to handle sensitive information confidentially
Team-oriented with proactive work ethic
Minimum 8+ years of experience in Retail / FMCG Industry only
Candidates with GCC and/or Indian HR experience will be preferred
MBA in Human Resources (HR)
