Operations Coordinator – 500-650 OMR


Our client is a Muscat, Oman based Exhibitions, Conferences & events business. They are seeking a dynamic and detail-oriented Operations Coordinator to join their team, reporting into the Operations Director.


This role is for Omani nationals only and events experience is required.


The Operations Coordinator will be responsible for:


  • Strategy:
  • Working with the commercial, marketing and operations teams to enable the business to achieve both its financial and operational objectives and goals.
  • Work with Event Directors to positively challenge existing ways of working and identify and implement new operational models, best practices, and processes to allow the business to work as efficiently and effectively as possible.
  • Ensure the achievement of high-quality client engagement and delivery.
  • Working with internal key stakeholders to develop new and innovative ways to engage with customers and execution of events.


  • Project and Operational Management:
  • Manage and lead team meetings / conference calls to ensure project is on track.
  • Analysing business systems and processes to ensure that they are efficient and effective, developing new systems and processes where necessary and rolling them out across the business where appropriate. New systems and processes should be developed to ensure consistency of international processes and standards.
  • Proactively determining operations needs and proposing ideas to existing operations procedures and to evaluate, identify standards and guidelines of the workflow and recommend strategic solutions to improve the efficiency and effective performance of the department. Constant updating of the latest changes in rules and regulations.
  • Interfacing with the various business departments on their event requirements.
  • Ensuring proper backup of project files and documents for future reference.
  • Operational problems solving in a speedy and effective manner, always bearing customer relations in mind.


  • Contract and Supplier Management:
  • Ongoing fulfillment of contracts with both venues and external suppliers, liaison and relationship management with partners and suppliers.


  • Quality and standards:
  • To ensure consistency of approach throughout the team.
  • To continually work with partners and suppliers, through the team and cross-departmentally to make real improvements to exhibitors, sponsors, delegates and visitors and raise standards of events.
  • Champion international standards of safety and ensure that they are adopted across all events.
  • Ensure that management are provided with accurate data and the tools that they need to make informed and effective decisions about the business.


  • Pre-Event:
  • Working closely with Sales team and assisting them in admin tasks.
  • Exhibitor’s manual development and communication exhibitor’s manual follow up and collection.
  • Stand contractor communication.
  • Overseeing the fulfilment of sponsorship deliverables.
  • Visa application management, custom and clearing management.
  • Event debtors’ management and reporting.
  • Preparing onsite rebooking process.
  • Delegate and awards coordination.
  • Preparing and managing acquisitions and purchase orders.
  • Coordination with venue regarding delivery of all orders and request.


  • Onsite:
  • On the spot exhibitor requirement management.
  • Ensuring smooth delivery of all orders


  • Post Event:
  • Check and coordinate stand contractor venue clearing.


Required experience:

  • Bachelor’s degree
  • Local Omani's
  • Fluent in Arabic & English


Salary:

  • The salary, depending on experience, is circa 500 – 650 OMR
