A Property Operations Manager is responsible for the effective and efficient management of residential or commercial properties. Their role includes managing tenant relations, overseeing leasing and maintenance, ensuring compliance with regulations, and optimizing the property's financial performance. They collaborate closely with property owners, tenants, vendors, and other stakeholders to ensure smooth operations and maximize profitability.
Responsibilities:
- Tenant Relations: Address tenant inquiries, complaints, and concerns promptly and professionally. Maintain positive tenant relationships to ensure satisfaction and retention.
- Maintenance Coordination: Organize routine maintenance, repairs, and renovations. Supervise maintenance staff and contractors to ensure properties are well-maintained and meet safety standards.
- Regulatory Compliance: Ensure properties comply with all relevant Omani regulations, including municipal guidelines, building codes, and health and safety standards. Manage the renewal of Civil Defense certificates and coordinate with local authorities for inspections and certifications.
- Budget and Financial Management: Develop and manage property budgets, covering operating expenses, capital expenditures, and revenue projections. Monitor expenses and revenues to ensure financial targets are met.
- Financial Reporting: Prepare financial reports, forecasts, and statements for property owners. Analyze financial data for trends, variances, and improvement opportunities.
- Vendor Management: Maintain and oversee relationships with vendors, contractors, and service providers. Negotiate contracts, evaluate performance, and ensure cost-effective and high-quality services.
- Property Inspections: Conduct regular property inspections to assess conditions, identify maintenance needs, and address safety or compliance issues.
- Strategic Planning: Develop and implement strategies to enhance property value, optimize operations, and achieve long-term objectives. Identify and act on growth opportunities within the property portfolio.
- Vendor Coordination: Manage communication and activities with vendors and FM service providers, ensuring smooth operations, resolving service issues, and evaluating vendor performance based on SLAs.
- M&E Systems Maintenance: Schedule preventive and corrective maintenance for mechanical, electrical, and plumbing systems. Coordinate with contractors, monitor repairs, and minimize disruption to operations and tenants.
- Utility Billing: Calculate and issue utility bills for tenants based on electricity, chilled water, and water consumption. Ensure accurate readings, correct tariffs, and timely billing.
- Scope of Work Documentation: Prepare detailed scope of work for all operational and maintenance tasks to guide contractors in meeting building standards.
- Maintenance Requests: Manage tenant maintenance requests, coordinating with FM teams or vendors to resolve issues promptly and ensuring adherence to SLAs.
- Insurance Claims: Oversee the process of filing, managing, and settling insurance claims related to property damage or tenant issues. Liaise with insurance companies to ensure timely claim resolution.
Requirements & Skills:
- Minimum 3 years of experience in property operations management.
- Strong communication and negotiation skills.
- In-depth understanding of the local market.
- Valid driver’s license and access to a vehicle.
- Fluency in English or Arabic (additional languages are an advantage).
- Background in civil or maintenance engineering preferred.
- Excellent organizational, multitasking, and time management skills.
- Strong written communication skills for reports and presentations.
- Good teamwork, analytical, and problem-solving abilities.
- Business acumen and knowledge of current affairs.
- Creativity, initiative, and the ability to work independently.
- Ability to work effectively under pressure.
