Role Objective: To support the implementation of the organization s records management practices by maintaining, registering, organizing, and handling physical and electronic records in accordance with the requirements and instructions of the National Records & Archives Authority (NRAA) and approved company policies and procedures.
Duties and Responsibilities:
- Participate in the implementation of approved records management tools, including records classification schemes, retention schedules, and retrieval procedures, in accordance with approved policies and NRAA requirements.
- Register records at the point of creation or receipt and classify and code them according to the approved classification scheme.
- Maintain accurate and up-to-date records inventories for physical and electronic records.
- Review and apply approved retention schedules to records under custody.
- Sort intermediate records in preparation for preservation, transfer, or disposal in accordance with approved retention schedules.
- Prepare records lists for destruction and records lists for archival transfer (deportation) in coordination with relevant departments and under approved controls.
- Participate in transferring records to intermediate or archival storage areas and ensure accurate data entry in records tracking systems.
- Receive incoming mail, register it according to numerical and chronological order, and classify it based on the approved records classification scheme.
- Distribute incoming correspondence to concerned departments and retain copies as required.
- Receive outgoing correspondence from departments, register it according to approved procedures, and coordinate its dispatch to relevant external parties.
- Coordinate with departments to ensure proper application of records classification and coding procedures.
- Provide operational documentation support and technical assistance to divisions and employees on records handling and filing procedures.
- Organize and maintain records and files required for daily operational needs.
- Prepare routine work reports related to records management activities and submit them to the line manager.
- Prepare official letters, work notes, and basic documentation related to records management activities.
- Participate in studies, initiatives, or proposals that support the improvement of records management practices within the organization.
Desired Candidate Profile
Bachelors in Records Management and Archives
Eligibility:
- Omani Nationality
- Bachelors Degree - Minimum GPA 2.7
- Successeful Completion of Placement Tests
- Strong Communication and Teamwork Skills
- Profeciency in Arabic and English
- Comitment to a 6 months Training Period.
