Summary

The Event Executive is responsible for planning, organizing, and executing various corporate events and conferences. This role involves coordinating with internal teams, external vendors, and clients to ensure seamless event logistics and exceptional attendee experiences. The Event Executive will report directly to DOE&M, ADOEM, and Event Manager and collaborate closely with the marketing and sales teams to achieve company objectives.

An outgoing, extrovert personality who can meet and exceed sales targets set in the monthly and yearly forecasts and to direct all efforts to maximizing the hotel’s revenues and profits across all revenue streams specifically rooms, small meeting conference and Food & Beverage operating departments. He / She enjoys interacting with guests and colleagues, as well as to work as a team member to create the most professional events team in Shangri-La Muscat. Multi-tasking / multi-skill is vital.

Together with the Events Planning Team, to be primarily responsible for planning and executing events after the MICE Sales Team have received a signed Letter of Agreement and deposit from the client. Where required, to handle last-minute leads from enquiry to conversion to execution, and look after personal repeat business contacts.

To maintain complete and supported records (filing, envision) of all sales agreements, contract and quotes for the hotel as per Hotel Policies & Procedures. To achieve targets in terms of number of new active Accounts, Events Covers and Revenue as set by the Director of Events and MICE. To submit monthly sales and entertainment schedule to the Director of Events and MICE. To ensure that all credit and collection procedures are implemented following the established Credit policies & procedures.

General responsibilities are always to project a positive and motivated attitude, to always maintain a high standard of grooming and hygiene, to maintain a good rapport and working relationship with colleagues and all other departments. Full support to supervisors and team is essential, for any other reasonable duties and responsibilities are assigned.

Responsibilities of Event Executive

Plan and execute corporate events, conferences, and seminars.

Coordinate with internal teams and external vendors to ensure smooth event operations.

Devise strategies for upselling.

Develop event concepts and themes based on client requirements and company objectives.

Create and distribute event invitations, promotional materials, and marketing collateral.

Coordinate event logistics, including venue selection, transportation, accommodation, and catering.

Oversee event registration and attendee management, including ticketing and guest lists.

Collaborate with marketing and PR teams to promote events through various channels.

Coordinate audiovisual and technical requirements, including stage setup, lighting, and sound.

Conduct post-event evaluations and analysis to measure success and identify areas for improvement.

Visit clients on a regular basis – academic, public sector universities, and private sector organisations in the scientific arena advertising agencies

Work closely with other members of the global classified advertising team to identify and target new clients

Ensure effective communication with clients and internal departments

Participate in regular sales meetings, wedding expos and implement actions relevant to wedding sales.

Desired experience for event executive includes:

Degree or equivalent experience

Understanding of events for offline and digital channels

Experience of managing relationships with external agencies and suppliers

Previous event experience working in a hotel or event venue
