The Role
Job Overview
We are looking for an organized and detail-oriented Document Controller to manage and maintain our project documents. The role involves ensuring that all documents are up-to-date, properly stored, and easily accessible to the team.
Key Responsibilities
- Single point of contact for all document management topics in the company.
- Develop, organize, and manage utilization of document control database system allowing better tacking of documents, approval loops, revision identification, quality and timely receipt and distribution.
- Responsible for ensuring, monitoring and reporting of document circulation durations, document approval progress.
- Handles all project document submissions, transmittals, letters.
- Keeping the record of all incoming and outgoing documents, updating document logs.
- Keep track of document versions to ensure that the latest versions are always available.
- Work with the other team sand external partners to make sure everyone has the documents they need.
- Responsible of quality of outgoing documents such as Material submittals, method statements, Operation manuals
- Responsible of drafting letters as per manager’s requirements for approval.
Ideal Profile
Requirements
- Education:
- High school diploma or equivalent; further education in administration or a related field is a plus.
- Certification of Advance MS office is a plus
- Experience:
- At least 5 years of experience in document control, preferably in an engineering or construction environment.
- Skills:
- Excellent knowledge of document management software. (SharePoint is a plus)
- Proficiency in MS Office (Word, Excel, Outlook).
- Familiarity with engineering documents like drawings and specifications is a plus.
- Good organizational skills and attention to detail.
- Ability to work well with others and communicate effectively.
- Ability to manage time and prioritize tasks effectively.
- Knowledge of HR/Administrative work is a plus.
