- Sales Support & Coordination
- Assist the sales team in managing client accounts, preparing quotes, and processing purchase orders.
- Coordinate with internal teams (such as logistics and finance) to ensure timely order fulfillment and delivery.
- Respond promptly to customer inquiries regarding order status, pricing, and product availability.
- Schedule and follow up on sales appointments and meetings, preparing necessary documentation and reports.
- Order Processing & Documentation
- Accurately enter sales orders, invoices, and product details into the company’s ERP/CRM system.
- Verify order information, including quantities, product codes, and pricing, to ensure accuracy.
- Generate purchase orders, shipping documentation, and invoices for each transaction.
- Ensure all records and sales documentation are organized and updated for easy retrieval and reporting.
- Data Entry & Record Maintenance
- Enter and update customer details, product information, and transaction history into the company database.
- Perform regular data audits to identify and correct any discrepancies in records.
- Prepare and maintain monthly sales reports, tracking key metrics such as sales volume, returns, and inventory status.
- Customer Relationship Management
- Build and maintain positive relationships with clients by providing exceptional service and follow-up.
- Handle customer complaints and escalate issues to the appropriate team members when necessary.
- Coordinate with the sales team to manage client feedback and gather insights to improve service.
- Inventory Coordination
- Monitor stock levels and coordinate with the inventory team to ensure product availability.
- Communicate with suppliers to track order status and anticipated delivery dates.
- Reporting & Administrative Support
- Prepare regular and ad-hoc reports for management, including sales trends, customer satisfaction, and operational efficiency.
- Support the team with administrative tasks such as filing, scheduling, and preparing documentation.
- Help prepare presentations, proposals, and reports for sales meetings and business reviews.
- Contribute to process improvements and efficiency enhancements within the sales and order management functions.
Key Skills and Qualifications:
- Education: High school diploma required; a diploma or degree in Business Administration, IT, or a related field is a plus.
- Experience:
- 0-2 years of experience in sales coordination, data entry, or administrative support, preferably in an IT distribution or technology company.
- Familiarity with IT products and distribution processes is an advantage.
- Technical Skills:
- Proficiency in MS Office Suite (Excel, Word, PowerPoint) and experience with ERP/CRM systems.
- Strong data entry skills with high attention to detail and accuracy.
- Basic knowledge of IT products and distribution channels is a plus.
