Project Support Specialist

Job Purpose

The Project Support Specialist will be responsible for providing administrative and logistical support to project managers and teams. This role is crucial for ensuring the smooth execution of projects by handling various tasks, including documentation, scheduling, and communication. The ideal candidate will be organized, detail-oriented, and capable of managing multiple tasks simultaneously.


Responsibilities


Administrative Support:

  • Assist project managers with the preparation of project documentation, including project plans, status reports, and meeting minutes.
  • Maintain project files and ensure that all project documentation is up-to-date and accessible.
  • Schedule and coordinate project meetings, including preparing agendas and distributing meeting notes.


Project Coordination:

  • Monitor project timelines and milestones, ensuring that deadlines are met and tasks are completed on schedule.
  • Track project deliverables and ensure that project teams have the necessary resources to complete their tasks.
  • Assist in the development and maintenance of project schedules and work plans.


Communication:

  • Serve as a point of contact for project-related inquiries and communications.
  • Facilitate communication between project stakeholders, including team members, clients, and vendors.
  • Prepare and distribute project-related communications, such as updates and newsletters.


Quality Assurance:

  • Support the implementation of project quality assurance processes and standards.
  • Assist in the review and verification of project deliverables to ensure they meet quality standards.


Resource Coordination:

  • Assist in the allocation and tracking of project resources.
  • Coordinate the procurement of project supplies and materials.
  • Ensure project teams have the necessary resources to complete their tasks.
  • Risk Management:
  • Assist in identifying and documenting project risks and issues.
  • Support the development and implementation of risk mitigation strategies.


Reports

  • Prepare and maintain project status reports and dashboards.
  • Track and report on project performance metrics.
  • Assist in the preparation of project presentations and executive summaries.
  • Prepare and submit progress reports on a regular basis to the Projects Sr. Manager on project status.


Qualifications

  • Bachelor’s degree in business administration, IT, project management, or a related field.
  • 0 - 2 years of experience in project coordination or a similar role.
  • Proficient in English and Arabic.
